Improving the cost of D365 FINANCE licences

As of November 1st, the new D365 FINANCE licensing situation is expected to have a significant economic impact by regularizing the types of licenses and access for all users utilizing the system.

With the new version of D365 FINANCE, it is now possible to contract licenses simultaneously with more than one Partner, meaning it is not necessary to wait for the annual expiration of contracted licenses to take action. Expansions and optimizations can be made to the existing installation, either with the current Partner or an additional Partner simultaneously. Each will be responsible for managing and billing the licenses they have contracted.

“Anticipate the licensing change and acquire your new licenses advantageously and efficiently.”

At REVERTIS, we offer you the possibility to carry out an audit of your current license allocation and present several optimized resulting scenarios to guide you in your decision-making process. Some scenarios consider the possibility of developing external APPs for users performing very specific tasks, while others propose continuing to access the D365 environment to carry out their functions. Certain options may seem advantageous in the short term, but when analyzed over three to five years, the outlook can be very different. Our analysis also takes into account whether the client is up to date with the AX BREP.

For each potential resulting model, we offer highly competitive licensing costs, along with annual bonuses and other benefits derived from contracting your D365 licenses through our services.

“Hire our audit service and choose the best scenario for executing your processes.”

Below are the four main reasons to contract your licenses with REVERTIS.

Support Aspect

Clients who contract D365 FINANCE licenses with REVERTIS have the option to hire REVERTIS support for their D365 FINANCE installation. Our support is provided “in-house” with our own staff. REVERTIS becomes a member of your IT team and frees you from user support. All actions are reported in our ticketing system, allowing us to analyze support cases by type, department, user, etc. This enables us to proactively prevent recurring issues and to prepare user training on topics that generate the most difficulties.

Pricing Aspect

Specifically, we will offer you the best optimized scenario in terms of unit costs for all your licenses, along with an annual bonus based on the number of licenses or the resulting economic value.

We provide a pricing scale and an annual discount as a year-end bonus, based on the total value of ALL your Microsoft licenses contracted with us.

This means we will consider not only D365 licenses but also any other Microsoft family license, such as M365, Power BI, Sales, Field Services, etc.

“Take advantage of our commercial conditions and the bonuses that contracting all your Microsoft licenses with REVERTIS can offer you.”

Ultimately, all licenses contracted with REVERTIS will be added to the evaluation of the annual amount to be paid. The higher the annual amount, the greater the bonus received at year-end.

Licensing Distribution Aspect

At REVERTIS, we have not waited for this restrictive change in D365 Finance licensing to start adjusting user permissions. We have always worked with our clients by creating security roles and tailoring them to user profiles. Now more than ever, this gives us an advantage.

We know how to adjust permissions so that users have the most cost-effective license possible. Assigning a full base license to all users is not the solution.

We have developed a working methodology that allows us to make adjustments quickly, avoiding surprises when the system is deployed across the entire company.

In some cases, a simple change in work methodology enables a large group of users to perform their tasks with an Operation-Activity license instead of Full Access.

External App Development Aspect

Frequently, we find in D365 implementations certain groups of users who perform only a few very specific tasks.

In some cases, these tasks require a “Full Access” license simply because they need to access or use a particular system function that requires this type of access.

For these cases, we evaluate the possibility of developing these functions externally through an APP integrated with D365, thus reducing the licensing costs required for these users in D365.

These actions are very specific and must be evaluated on a case-by-case basis.

In any case, REVERTIS has its own APP development methodology based on Angular technology that allows these groups of users to work as if they were inside D365, although they are not actually accessing it, thus avoiding D365 license consumption.

A clear example is our sales POS application, which allows traditional sales and customer tracking tasks fully integrated into D365, without the need for direct access to the application.

“With proprietary applications such as our POS developed with Angular technology and fully integrated into D365, companies like Fotoprix have saved more than 400 D365 user licenses.”

In conclusion, REVERTIS invites companies to anticipate changes and review their current licensing situation to avoid overcosts and ensure compliance with Microsoft’s new policies.

Our proposal combines experience, specialized tools, and an efficiency-focused approach, making it a key business opportunity to optimize the use of D365 FINANCE.

Migrating from ERP to D365 Finance

Migrating from ERP AX 2012, 2009 (Axapta) to Dynamics 365 Finance: Complete Guide, Benefits and Tips

In an increasingly competitive and evolving business world, having a robust and scalable enterprise resource planning (ERP) system is key to driving growth and efficiency. Microsoft Dynamics 365 Finance-formerly part of Dynamics 365 Finance and Operations-has positioned itself as one of the most robust solutions for companies looking to improve their financial and operational processes.

In this article, we will explore what Dynamics 365 Finance is, what its benefits are and what aspects we should consider to carry out a successful migration from ERP AX (Axapta) to Dynamics 365 Finance.

What is Dynamics 365 Finance?

Dynamics 365 Finance is a component of the Microsoft Dynamics 365 suite of business applications, focused on financial management, process automation and data analysis. When combined with other modules such as Supply Chain Management, Sales or Customer Service, organizations can enjoy a comprehensive platform to manage all their operations.

Some outstanding functionalities include:

  • Multi-entity and multi-currency financial management and consolidation.
  • Advanced real-time reporting.
  • Treasury and administrative process automation.
  • Native integration with other Microsoft products, such as Power BI, Office 365 and Power Automate.

Main advantages of migrating to Dynamics 365 Finance

  1. Cloud architecture: Dynamics 365 Finance runs on the Microsoft Azure cloud, which provides greater flexibility, scalability and security. This reduces the need for local infrastructure and facilitates access to information from anywhere.
  2. Continuous updates: With the cloud solution, Microsoft releases updates on a regular basis, ensuring that the system is always up to date with the latest innovations and complies with the latest regulatory requirements.
  3. Improved user experience: The Dynamics 365 Finance interface is modern, intuitive and customizable, making the tool easier to adopt and reducing the learning curve.
  4. Integration with the Microsoft ecosystem: Being fully integrated with tools such as Power BI, Power Apps, Microsoft 365 and Teams, collaboration and reporting processes are streamlined and improved.
  5. Business intelligence and advanced analytics: Thanks to its integration with Power BI and Azure Machine Learning, it is possible to take advantage of predictive analytics, interactive dashboards and real-time reports to make more informed decisions.

Preparation prior to migration from ERP AX (Axapta) to D365 Finance

Although the benefits of migrating to Dynamics 365 Finance are significant, it is essential to carry out a series of previous steps that will guarantee the success of this process:

1.- Evaluation of the current system

Perform a detailed inventory of customizations, integrations, reports and modules in use in the current version of AX. This assessment will help determine the scope of the migration and the resources required.

2.- Data cleansing and standardization

Before starting the migration, it is advisable to clean the database, eliminate obsolete information and verify the quality of the data. This will reduce errors and problems in later phases.

3.- Review of customizations

Many AX customizations can be covered as standard or with preconfigured extensions in Dynamics 365 Finance. Review each customization to decide if it should be migrated, redesigned or discarded.

4.- Planning and goal setting

Define the timeline, milestones and key performance indicators (KPIs) you expect to achieve with the migration. This way, everyone involved will have a clear vision of the progress and expected results.

Key steps for a successful migration to Dynamics D365 Finance

  • Solution design: Work with an expert Dynamics 365 Finance partner to design a solution that meets your specific business requirements. During this phase, functional gaps are analyzed and workflows are defined in the new environment.
  • Configuration and development: Configure the system according to your business needs: account catalogs, financial dimensions, roles and user permissions. If you need extensions or custom developments, this is the time to carry them out.
  • Data migration: Use migration tools, such as Data Management in Dynamics 365, to import clean and validated information from AX. It is crucial to perform load tests and data reconciliation to avoid inconsistencies.
  • Testing and validation: Before launching the system into production, run functional, integrated and performance tests. Make sure that all critical business processes are operational and that the established requirements are met.
  • Team training: The human factor is determinant for the success of the migration. Train end users in the new processes and functionalities of Dynamics 365 Finance, making sure they feel comfortable with the tool.
  • Implementation and post-production support: Once the system is up and running, keep a support team available to address issues, provide advice and monitor performance. Monitor the defined KPIs to confirm that objectives are being met.

Practical tips for a smooth migration

  • Constant communication: Regularly inform all departments about the progress of the migration, expected changes and deadlines. Good communication reduces resistance to change and promotes collaboration.
  • Involve the leaders of each area: Identify Key Users to serve as liaisons between the IT department and the business teams. This ensures that real needs are reflected in the final solution.
  • Define a change management plan: The adoption of a new ERP involves cultural and organizational changes. A solid change management plan facilitates the transition and improves adoption.
  • Evaluate the use of agile methodologies: Agile methodologies such as Scrum or Kanban allow greater flexibility and adaptation during the project, ensuring continuous value delivery.
  • Choose a trusted partner: Working with a specialized Dynamics 365 team like Revertis increases the likelihood of success and reduces risks.

Migrating from ERP AX (Axapta) to Dynamics 365 Finance offers opportunities for optimization, automation and advanced analytics that can make a difference in the competitiveness of your organization. However, to take full advantage of these benefits, it is essential to carefully plan each stage of the migration, involve the various teams of the company and have reliable partners.
